We manage a growing number of developments in and around Warwickshire, including apartment blocks, housing estates,...

We manage a growing number of developments in and around Warwickshire, including apartment blocks, housing estates, mixed developments and commercial property. Our management services are provided to residents’ management companies and associations, commercial property owners, freeholders and developers.

Our service is backed by a modern and fully computerised Management Information System managed by highly trained professional staff. We ensure that personal information is held securely and that charges, receipts and payments are processed with accuracy and efficiency.

We are fully transparent throughout the management process. We provide clients with annual accounts, which are presented in a user-friendly format so they can see exactly how their money has been spent. As part of this process we also assess expenditure against budget forecasts and if necessary present proposals for budget revision.

If required, we can arrange for an independent Chartered Accountant to compile full accounts and we will provide for this cost within the service charge budget.

Your development will usually be assigned an individual Block Manager from our team of professionals in order to ensure continuity of contact whenever possible. Should your Block Manager not be available for any reason, any member of the Block Management Department will be pleased to assist with your enquiry.

Our Block Management package will be competitively priced and individually tailored to the requirements of the individual development and client. We would, however, normally anticipate that as appointed Managing Agents our responsibilities will be to:

  • Liaise with a nominated block or development representative.
  • Administer existing and replacement contracts for works of periodic maintenance and ensure punctual settlement of legitimate debts.
  • Arrange and administer buildings insurance to comply with lease terms.
  • Conduct inspections and provide general attendance at the premises as necessary.
  • Develop annual budgets of planned expenditure.
  • Collect and administer all funds of the management body, whether of a revenue or capital nature, in the sole name of Sheldon Bosley Knight and maintain funds in a duly titled Client Account in compliance with the requirements of the Rules of Conduct of the Royal Institution of Chartered Surveyors.
  • Instigate arrears management procedures for instances of non-payment of service charge.
  • Maintain proper books of account in respect of the income and expenditure involved in the proper administration of the premises and to produce annual accounting reports sufficient to allow others if necessary to produce returns for a Limited Liability Company.
  • Arrange Company Secretarial services for the residents Management Company.
  • Call and administer an annual meeting of the Leaseholders and Owners to present a report of the previous year's accounts, settle the rate of future subscriptions and conduct any other appropriate business.
  • Administer the repair of the building in connection with matters of a non-recurring nature and generally ensure the wellbeing of those parts of the premises of collective responsibility.
  • Respond to solicitors' pre-contract enquiries during the proposed sale of a property.
  • Advise and assist compliance with statutory legal responsibilities.
  • Endeavour to aid the enforcement of lease covenants.
  • Generally make available the Block Management Department of Sheldon Bosley Knight in the interests of care and attendance to proper matters throughout the appointment.
Service Charges

The Service Charge is the mechanism by which a collective of leaseholders or owners pay for the upkeep of the common...

The Service Charge is the mechanism by which a collective of leaseholders or owners pay for the upkeep of the common areas of a development in compliance with the terms of the leases or title deeds. Dependent on circumstances, the service charge may also cover insurance of buildings, grounds and common systems and the costs of administration of any residents’ management company.

Service Charges are always payable in advance in order that funds are available to meet planned expenditure. The frequency of payment is generally dictated by leases/deeds. The proportions of the total service charge payable are also fixed within these documents and commonly vary dependent on the floor area of each unit.

Dependent on requirements, we will compile a Service Charge budget broken down into relevant headings, including for example such items as grounds maintenance, interior common parts cleaning and window cleaning.

We strongly recommend that any Service Charge budget includes a Sinking Fund element designed to cover the cost of planned major works such as redecoration and to act as a buffer to cater for unforeseen circumstances. Failure to make provision for a Sinking Fund can have significant future consequences and potentially prejudice sales, particularly within apartment buildings.

The Service Charge budget will be reviewed annually and discussed with the Management Company Directors, Residents Association Committee or, if appropriate, at a full annual meeting of owners prior to implementation.

We will, if required, arrange collection of ground rents and recovery of ground rent arrears as necessary.

Following deduction of an approved commission, collected ground rents will be paid over to the freeholder on an agreed schedule.

There are numerous regulations and statutory requirements applicable to Block Management and apartment buildings in particular. A number of these requirements can be time consuming and onerous and all can result in serious penalties if they are not fully complied with.

As appointed Managing Agents, we will ensure that the requirements applicable to your development are met. We will appoint relevant third party experts where required and advise owners of any remedial action that may be necessary.

I would particularly like to say a huge thank you to Andrew James. From the moment that I enquired about putting my house on the market, he has been nothing short of exceptional.

We had already found a house that we wanted to buy, and so it was important that my property went onto the market without delay and sold quickly. Andrew was fantastic in that respect; the house was on Rightmove within a couple of days of my instruction and he then arranged somewhere in the region of 20 viewings a week later. He priced the property brilliantly, leading to my receiving six offers, all in excess of the asking price.

He was calm, conscientious and diligent throughout the whole process. Communication with me was always excellent and timely.

I have therefore contracted this work out to you for the last eight years or so.

My point of contact for the last five years has been Laura Gaydon; I cannot speak highly enough of the service she has given me. She has been meticulously accurate in completing my Single Payment Scheme (now the Basic Payment Scheme) forms, always in good time and in good order, which is a great relief for me; in spite of the maddening complexity of the paperwork we have never had forms returned or rejected. Laura has also been responsible for ensuring that my Higher Level Stewardship commitments are properly met and reminding me of, and helping me with, the other form-filling obligations the our masters in Brussels impose on us.

Beyond all this Laura and her colleagues were responsible for drawing up the plans and application forms for a new grain store which was completed in the summer of 2014.

On a personal note it is a pleasure to work with Laura; she is efficient without being remotely bossy and has the invaluable gift of correcting my errors without a hint of reproach. I have no hesitation in warmly recommending Laura and by the same token Sheldon Bosley; throughout our long association I have always found them courteous and efficient and I look forward to maintaining this happy relationship in the future.

Although all the Leamington team were very good, it was the hard work of Norma which stands out. She drove the process forward from SSTC to exchange and managed to keep the chain together despite competing timescales and other issues. She also kept us fully updated along the way. Normas involvement in the sale certainly highlighted why it is often a false economy to sell with these online only agents!
